Select the operational boundary
A lead can exist in several stages: ad click, call or form, office review, qualified request, appointment, estimate and job. The right handoff is where the business wants field staff to take ownership. If every raw website request becomes an active job, the system may fill operations with duplicates, out-of-area inquiries or spam.
Draw the current workflow with the dispatcher, office manager and marketing owner. Identify which system owns each stage and when the customer changes from prospect communication to operational scheduling. Keep a manual review step when the request includes a complex scope or needs a human decision.
Check developer access and environment requirements
ServiceTitan’s developer documentation describes a process involving developer access, OAuth credentials, tenant and app identifiers, and API-specific requirements. It recommends developing and testing in an integration environment before production. Access and approval are vendor-controlled; do not assume a contractor’s normal account credentials are sufficient for a custom app.
Confirm which endpoints and resources the account and proposed app can use. ServiceTitan’s documentation and API terms govern the connection. Verify current API versions, scopes, environment, rate limits and approval steps before quoting. Do not move customer records into a developer test environment unless the vendor and business have approved the test data and access.
Preserve attribution without overloading the job record
Decide which source fields matter to the owner: first touch, campaign or channel, landing page, consented click identifier and the marketing CRM record ID. Keep the values in designated fields where available and avoid putting names, emails or phone numbers into URLs. If ServiceTitan cannot preserve a specific value in the desired object, document the limitation rather than promising complete attribution.
Agree whether the field-service record sends job stage or accepted status back to analytics or the marketing system. If a downstream conversion is imported into an ad platform, deduplicate it against the initial successful form or call event. Write down the event definition so a later configuration change does not count one inquiry twice.
Define ownership and exception handling
When the transfer succeeds, name the person who receives the record and the expected next action. When it fails, create a task or alert with a human owner. For a customer already in ServiceTitan, use a stable record match and decide whether to attach the inquiry, update a field or route for review. Never let a retry create a second job without a check.
Test out-of-area requests, duplicate forms, a missing phone, an expired token, a permission failure and a vendor timeout. Confirm the marketing system still retains the inquiry while the field-service write is unresolved. Give the office a manual queue so a temporarily unavailable connection does not erase the follow-up obligation.
Build the test plan before the integration
- A valid inquiry reaches the expected ServiceTitan object and team.
- A duplicate contact or request follows a defined match rule.
- A rejected or out-of-area lead stays visible for human review.
- Source and consent fields are mapped without personal data in URLs.
- Failures trigger an owned task and leave the original inquiry intact.
- The office can pause the integration and use a manual fallback.
- A rollback and credential-revocation process are documented.
Separate a marketing system from field-service software
ServiceTitan remains the operational platform for its configured functions; a marketing CRM can capture and organize inquiries before or alongside the handoff. The business should not duplicate every customer communication or create a second booking record unless the staff has a clear reason to work in both systems.
A custom integration can be useful when it reduces repeat entry or preserves a required lead source. It may be unsuitable if the vendor account lacks access, the API does not expose needed fields, the process changes frequently or staff cannot monitor exceptions. A secure manual handoff may be more reliable for a low volume.
Scope responsibility and maintenance
Identify who owns the developer account, client secrets, test environment, production connection and incident response. Confirm monitoring frequency, dependency updates, credential rotation, support hours and the cost of future changes. A one-time connection is not the same as ongoing integration maintenance.
Parallax describes custom integrations as subject to API access and feasibility, with a separate quote. Advanced Automations is an indicative managed specialty from $500 per month above standard Foundation workflows. HighLevel is delivery infrastructure, not a proprietary field-service platform created by Parallax.
